Virtual Standalone Education

History / Background

Our client has been running a successful annual education conference for up to 200 delegates for a number of years. Despite Covid-19 they were keen to maintain contact with HCPs (Healthcare Professionals) and update their customers on their latest research and a new product launch.

Challenges

• The event needed to include education sessions, networking opportunities, access to the product reps and an exhibition.
• “Zoom fatigue” had to be avoided but the event had over 8hrs of content.
• The client’s project team were all working remotely as were High 5 Events and our delivery partners. No-one in the project team met face-2-face during the 3 month planning and delivery period.
• NHS firewalls and HCP download restrictions needed to be factored in to the platform choice.

Delivery

• The conference became a series of bite sized sessions spread over 4 days to replace the full-day format. Delegates could register individually for any of the 9 sessions.
• We used SpotMe to host the event which was fully branded to produce a unique conference feel.
• The SpotMe platform incorporated the event website, live stream and on-demand viewing, delegate networking opportunities and an exhibitors’ area full of product information and with a live on-line chat facility. SpotMe works on-line so avoided app download issues.
• A mix of live and pre-recorded sessions were used with live Q&A to respond to delegate questions. All sessions were made available for on-demand viewing.
• We added gamification features to reward interactions with exhibitors with suitable choclately prizes.
• CPD accreditation was achieved improving the marketability of the event.
• Content will remain live for 12 months providing a valuable reference for delegates.

Outcome

• Delegate registrations jumped from 200 at last year’s live event to 1200 with 300 on-boarding during the event week.
• The event spanned the globe with registrations stretching from Australia to Columbia
