vFairs Virtual Environment

Background

In 2020, the High 5 Team successfully implemented a virtual solution to take an annual education congress for HCPs online for the first time to enable our client to continue providing important and up-to-date research and product information to their customers. Our delighted client returned for 2021 seeking bigger and better!

Challenges

  • Delivery two separate speaker programmes (adult & paediatric) under a common theme allowing the audience to focus on their own stream or swap between streams where topics appealed
  • Make it more visual and interactive
  • Co-ordinate pre-record sessions with 50+ industry experts around their busy work schedules and over the summer holiday period.
  • Integrate live moderated virtual Q&A sessions with pre-recorded presentations
  • Create engaging, branded exhibition booths to provide downloadable content and live chat and networking opportunities to the delegates

  • We selected vFairs to provide a brandable and interactive platform which would be accessible across most HCP/NHS IT systems
  • 9 seminars in 2020 became 36 sessions with 51 different speakers 
  • Sessions were delivered as live and timed to enable viewing over lunchtime and early evening periods with all the talks combined with their Q&A session available to view On Demand within 2hrs
  • 12 heavily branded exhibition booths were created full of useful and practical downloadable content. Booth reps were available for live chat sessions, video chat or they could take enquiries off-line and respond via email or organise subsequent F2F meetings
  • A hybrid element was added with a live entertainment evening delivered F2F for key customers and the client team and broadcast live via vFairs to the online audience

Outcome

  • Registrations topped 2000
  • There were almost 3000 views of the 36 sessions which will remain available online for repeat viewing
  • Booth Chat seemed endless with over 5000 separate visits delighting the client and testing the speed typing skills of the Booth Reps!
