European Psychiatry Congress
History / Background
The purpose of the event was to bring a number of Key Opinion Leaders in the field of Psychiatry to a European Meeting. This 5 day meeting was to be an opportunity for the delegates to increase and share knowledge of the field and for the sales team to enhance relationships with their key customers.
One of the main challenges faced by High 5 was that the client company had two different groups which related to the different products that the company was interested in marketing. Each delegate needed to be managed individually, be unaware of this split and see a unified sponsoring team.
The group trebled in size to 75 attendees one month prior to the meeting, and as with most city wide congresses, accommodation at the key hotels always comes at a premium. Due to high 5’s working relationship with local suppliers, we successfully accommodated the increased numbers in one hotel within 5 minuets walking distance – just what the client preferred!
Prague was already the nominated venue for this meeting, however it was key that High 5 provided venues that met with the clients overall budget, standard operating procedures and delegate perception. Consequently High 5 undertook a site inspection which gave the opportunity to negotiate and ensure a faultless congress programme.
High 5 provided a fully branded online registration system for delegate completion which coordinated all of the individual responses and issued electronic event confirmations. The technology was further supported by an experienced High 5 Events Manager who managed the project throughout and travelled as part of the on-site team, working as an extension to the client company team.
As it was a European destination, High 5 worked closely with suppliers to ensure all delegates were offered individual flights from their local airport, within the clients budget. High 5 communicated with each delegate on an individual basis, ensuring a good working relationship and a prompt service with the key opinion leaders.
The logistics of arrival and departure transfers, along with daily congress shuttles and evening transporations were carefully coordinated by the on-site team.
High 5 successfully coordinated a variety of evenings at local restaurants, within ABPI guidelines, which gave the client personnel an excellent opportunity to relax and network with their customers, knowing all of the arrangements were professionally taken care of.
